Privacy Notice for Candidates

Thanks for your interest in Viber! Please note that by submitting your application you agree to our processing of your personal information in the ways described below. We take your privacy very seriously and have implemented appropriate measures to protect it. If you do not agree to our processing as described below, please do not submit an application.

What data we collect and why:

As part of the submission process, you are requested to provide certain personal details, such as: contact details and the information included in your CV and application (including information such as skills, work experience, education), notes submitted with the application, URL of your LinkedIn and other online profiles, the position for which you have been or are being considered, information from references, events in the lifecycle of your candidacy, your responses to questionnaires sent to you by us, information about your candidacy and employment options (such as availability to be hired and salary expectations), evaluations of your candidacy, materials you or other parties (such as evaluators or background check providers) submitted in relation to your candidacy. Your personal data can also originate from other sources, such as LinkedIn profile. We only request data which is reasonably required for the purpose of evaluating your application and keeping in contact with you about it, and for evaluation your compatibility with future positions. If your application was successful we may collect additional data for the purpose of proceeding with the recruitment process, such as personal identification numbers and personal address and your application data will be included in your employment file if you eventually join the Viber family. We may also analyze application data in an aggregate non personal way, to improve our processes.

Legal basis:

The lawful bases we rely on for processing personal information are (if applicable to us under privacy law):

  1. You gave us your consent to the processing of your personal data (for one or more specific purposes);
  2. Processing is necessary for the performance of a contract to which you are a party or in order to take steps at your request prior to entering into a contract;
  3. Processing is necessary for the purposes of the legitimate interest; and/or
  4. Processing is necessary for compliance with a legal obligation to which the controller is subject.

Who we may disclose the data to, who will process your data:

Your application data can be accessed by our and Rakuten’s HR functions (where our offices are joint) in our various locations worldwide as well as relevant managers who are recruiting, for the purposes set forth above, as well as technical support personnel for purpose of maintaining the systems we use. We may also contact relevant organizations for validating data you have provided (such as education records or government authorities, where relevant and required).

We may also share your data with third party service providers and/or data processors to whom we have instructed to collect, store and process personal information on our behalf for the purposes of providing our services, for example, recruiting and applicant tracking platform (“Platform”) in order to handle your personal data as a candidate, for the purpose of analysis and optimization of our recruitment processes including but not limited to, Comeet (who provide us with the Platform) in the context of your candidacy. These companies are authorized to use your personal data as necessary to provide these services or as otherwise authorized by us. Comeet’s privacy policy is available here. We may disclose your information to law enforcement, governmental agencies (including tax authorities), or authorized third-parties, in response to a verified request relating to terror acts, criminal investigations or alleged illegal activity or where we are otherwise required to do so by law. We may also share data as part of an acquisition transaction.

Where the data may be processed:

Your data will be processed using designated systems we use, of which servers and employees may be located outside of the EEA. That means that your personal information will be processed in countries where data protection and privacy regulations may not offer the same level of protection as in your home country. We have put in place appropriate safeguards (such as contractual commitments) in accordance with applicable legal requirements to ensure that your data is adequately protected. We may also transfer your data to our subsidiaries in a third country for the purposes specified in this policy, but always under adequate safeguards.

How long do we keep the data:

Personal data collected from unsuccessful applications will be retained only for as long as necessary for the purposes set forth in this policy and for legal reasons.

Security:

We implement industry standard measures to reduce the risks of damage, loss, unauthorized access, or use, of your personal data. However, these measures do not provide absolute information security.

Your rights, responsibilities and undertakings:

The data you provide us must be complete and accurate. You may ask us to receive, correct, update or remove any data from your application, or to avoid using your data for future positions, by contacting us at privacy@viber.com. You may also lodge a complaint with a supervisory authority. The data you provide must not infringe on any third party rights including without limitation privacy, confidentiality of intellectual property rights(for example – please do not provide names of references without their consent).

In the context of the Platform we do not use any automated decision-making related to your personal data.
